Dear Publisher,
You are invited to submit your recommended materials for the Reading
Sessions and Repertoire Portfolios at the Eastern Division American
Choral Directors Association Conference to be held in Providence RI,
February 15-18, 2012. Your materials should be sent directly to the
Repertoire and Standards (R&S) Chairs for each area of interest. The
Reading Sessions are an important source of repertoire for the over
1,000 choral directors expected to attend the Providence conference.
Our membership always eagerly awaits and seeks these materials.
Following is a list of the 11 different categories/areas which will
offer a Reading Session and Portfolio focus along with the contact
information for the person to whom you should send materials for each
area. PLEASE NOTE: Eastern Division is embarking on a new and exciting
mode for presenting these materials, the Paperless Reading Sessions and
Portfolios.
All Reading Session Materials and Repertoire Portfolios will be in the
form of PDF files made available via USB drive. Publishers are asked to
submit PDF files of materials rather than paper copies. In addition the
Repertoire Portfolios will be made available via USB drive for a nominal
fee to all choral directors after the conference. Following are the
Submission Guidelines for PDF files.
In order to allow our R&S Chairs adequate time to peruse your selections
please submit your selected titles to the R&S Chairs by June 15.

promotion of quality choral music. I look forward to collaborating with
you to present the most successful reading session we can for our
membership and for you, the publisher. Please reply that you have
received this and whether you anticipate submitting scores to our
session chairs.

In addition to the scores that will be projected and performed during the reading sessions, this year, the EACDA will be offering publishers the option for including repertoire on a USB key that will be distributed to all attendees at the conference.
PREFERRED FORMAT for SCORES TO BE
PROJECTED
These scores may contain a lower level of copyright protection, as full
scores are needed for the reading (and some copy protections schemes
remove a page or two from the score). Thus, the files that are used for
the projection may be different from the ones used on the USB. For
security purposes, all files that will be used for projection in the
reading session will be held under the auspices of the Technology
Director for the Conference (John Delorey).
Portable Document Format (PDF) will be the format for
digital submission. (http://en.wikipedia.org/wiki/PDF).
Most commercial programs (Finale and Sibelius) allow the direct import
into this format.
Print Disabled - It is HIGHLY suggested that for copyright
purposes, the publisher disables the printing ability on each file (http://acrobatusers.com/forum/printing-prepress/how-disable-printing-pdf).
EACDA can assume no responsibility for files that are not print-disabled
or copy protected when they are submitted. Adobe Acrobat 7 is needed for
the installation of print disabling.
Additional Copyright Protection - Each page should have
a copyright assignment and a persuasive message against photocopying,
but not across the score if possible, as these will be used for
projection.
